How Jamega Handles Withdrawals and Late Entry Changes Before Tee Off

Plans change. A flat tyre, a work deadline, a sudden injury – the reasons golfers withdraw from a Jamega Tour event are as varied as the players themselves. What matters is that the field is adjusted fairly and quickly before the first tee shot. This article explains the administrative process behind withdrawals, late entries, refunds and reserve lists.

The Cut-Off Point for Withdrawals

Every Jamega Tour event has a published withdrawal deadline, usually 24 to 48 hours before the first tee time. Withdraw before that point and you are removed from the field without penalty. Withdraw after it and the situation becomes more complex, because the draw may already be published and starting times allocated.

Our tournament office monitors entries continuously in the final days. Once the deadline passes, any vacancy is filled from the reserve list in strict order. That order is not arbitrary: it is based on the time each reserve entry was received, unless a specific exemption category applies.

How Reserve Lists Are Managed

The reserve list is a living document. When a player withdraws, the first reserve is contacted immediately by phone and email. They then have a short window – typically two hours – to confirm. If they decline or do not respond, the next reserve is called.

To keep this fair, we follow a simple sequence:

  • Confirm the withdrawal in writing.
  • Identify the highest-ranked reserve still available.
  • Offer the place with a clear response deadline.
  • Update the draw and notify the club and starter.

This process repeats until the field is full or the reserve list is exhausted. Players who miss out are informed the same day.

Late Entry Changes Before Tee Off

Occasionally a player who has already entered needs to change something late: a handicap adjustment, a partner change in a pairs event, or a request to move to a different starting time. We handle these case by case, but the guiding principle is that no change should disadvantage another competitor.

Where a late change affects the draw, we reissue starting times to everyone in the affected group. A short blockquote from our tournament charter captures the spirit of this: "The field is a contract with every player in it." In practice, that means transparency and quick communication.

Refunds and Financial Administration

Refunds depend on when the withdrawal happens. The table below summarises our standard approach.

Timing of WithdrawalRefundAdmin Fee
Before entry deadlineFullNone
After deadline, before drawPartialYes
After draw publishedNoN/A

Refunds are processed back to the original payment method within five working days. If a reserve replaces a withdrawn player, the reserve pays the standard entry fee and the withdrawn player's refund is calculated separately.

Communication and Final Checks

Clear communication prevents most disputes. Every change is confirmed by email, and the updated draw is posted on jamegatour.co.uk as soon as it is final. On the morning of play, the starter receives a final field sheet showing all adjustments.

If you need to withdraw or change your entry, contact the tournament office as early as possible. The earlier we know, the more options we have – and the smoother the day runs for everyone on the tee.
